Privacy Policy

This policy explains what personal information we collect through our careers site and employee portal, why we collect it, who we share it with, and what you can ask us to do about it.
Who we are
This careers and employee portal is operated by Greenpoint Insurance Brokers Inc. and Ella Insurance Brokerage Inc., referred to together in this policy as we, us and our. Both entities act as joint controllers of the information described below. Our addresses are listed at the end of this policy.
This policy covers careers.geinsgroup.com, including the public job board, the online application, and the employee portal used after hire. It does not cover any separate insurance product, quote or claims system we operate.
What we collect
We collect different information depending on where you are in the process.
- When you apply for a role
- Your name, email address, telephone number, the role you applied for, your availability and desired compensation, your employment history, your education, any professional licences and self reported skills, your references, links you choose to share such as LinkedIn or a portfolio, any resume file you upload, and your answers to eligibility questions. You may also choose to upload a government issued photo ID at this stage; it is optional, and we explain why below.
- When you are hired
- Your new hire packet collects your Social Security number, date of birth, home address, emergency contacts, bank routing and account numbers for direct deposit, the tax withholding information on your Form W-4, images of your driver's licence or state ID, your benefits elections, and your electronic signature.
- When you use the portal
- Your account email, a cryptographic hash of your password (never the password itself), an encrypted secret if you enable two factor authentication, and a record of administrative actions taken on records, which we keep for accountability.
- If you sign in with Google
- Your Google account email address, name and profile picture. We use these only to match you to an account that already exists in our system and to sign you in. We do not read your Gmail, Drive, Calendar or contacts, and we request no scopes beyond your basic profile and email address.
Why we collect it, and on what basis
- To assess your application, contact you about it, arrange interviews and make a hiring decision.
- To verify the information you give us, including by contacting the employers, schools and references you list, where you have authorised us to do so.
- To meet our obligations as an employer, including tax withholding, payroll, benefits administration and employment eligibility.
- To operate and secure the portal, including authentication, and to keep an audit record of who changed what.
- To comply with law, respond to lawful requests, and establish or defend legal claims.
We collect a government photo ID only where it is genuinely needed. It is optional on the public application and required only after an offer, as part of your new hire packet, so that identity documents are not in front of the people making the hiring decision.
How long we keep it
We keep application records for as long as we need them to run the hiring process and for a reasonable period afterwards, so that we can respond to questions about a decision and meet record keeping obligations. Employee records are kept for the duration of employment and for the periods required by tax, payroll and employment law afterwards.
If you ask us to delete your application and we are not required to keep it, we will do so.
Your choices and your rights
You can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it. Write to privacy@geinsgroup.com and tell us enough to identify your record, such as the reference number shown when you applied.
Depending on where you live, you may have additional rights under state law, including the right not to be discriminated against for exercising them. We will not treat you differently because you exercised a privacy right.
You can withdraw from consideration at any time using the application status page, and you can decline to use Google sign in without losing access to your account.
How we protect it
- Passwords are stored only as salted hashes; we cannot read them.
- Two factor secrets are encrypted at rest.
- Uploaded identity documents are served through access controlled routes rather than by public link, and only to staff authorised to review them.
- Access to records inside the portal is limited by role, and administrative actions are logged.
- Traffic to and from the site is encrypted in transit.
No system is perfectly secure. If we become aware of a breach affecting your personal information, we will notify you and the relevant authorities where the law requires it.
Children
This site is intended for people seeking employment and for our employees. We do not knowingly collect information from children under 16. If you believe a child has given us information, write to us and we will delete it.
Changes to this policy
If we change how we handle personal information, we will update this page and change the effective date at the top. Where a change is significant, we will take reasonable steps to tell you.
